When managing your presence across tens or hundreds of different online services one of the biggest frustrations can be managing your login credentials across all of these services.
It is not a good idea to use the same password everywhere and over time you will probably use different usernames and email addresses and may also be using social media logins for some sites (but which site!).
myPresences helps you manage this problem by allowing you to store your access credentials for each service directly in the platform so that they are easily accessible whenever you need them.
You should the export them every so often (once a month or year) and store them somewhere safe so you never lose your account passwords again.
By storing your access credentials in myPresences you can also take advantage of some additional benefits:
- Multiple users can gain access to your login credentials
- Access to the password can be logged to see who has accessed it
- If your account is being managed by a third party they can gain access to your credentials and also create and set them for you.
- In the myPresences chrome extension we will automatically log you into services when you access them without you or third parties needing to see your username and password.
Account access credentials vs Business access credentials
If you have more than one business you should manage multiple locations on a service under one set of credentials. This allows you to login once and manage all of your locations.
This is not always possible and for some services you may need a seperate set of credentials for each business.
When saving credentials in myPresences you have the ability to save them for use by the entire account or for individual businesses.
When saved for the entire account you will save your credentials once and every business under your account will use those credentials for the service. So if you enter Yelp login details once and then switch to Business A you will see those login details if you switch to business B you will see the same login details.
When saved for an individual business the service credentials only apply to that one business. So if you added yelp login details to one business and switched to another those login details would not appear.
Saving credentials for an individual business will override any account credentials for that business.
To save account credentials:
- Choose All Locations in the top business menu.
- Chose credentials in the left menu.
- Follow the instructions below for saving your access credentials.
- Anything you save will be for all locations.
To save business credentials:
- Choose a specific business location in the top business menu.
- Chose credentials in the left menu under Tools.
- Follow the instructions below for saving your access credentials.
- Anything you save will be for just the business selected in the top menu.
Saving your service access credentials
Before you can save your access credentials for a service you must first have a presence in myPresences on that service that is verified. If you do not already have a presence for the service create one and add the presence to myPresences.
- Go to your credentials page under the Tools menu on the Navigation bar.
- Find the service in the list where you want to save your credentials. If you don't already have credentials stored the service will have a red unlocked icon beside it.
- Click on the service name. The service will open up showing where you can set your Username, Password and Email.
- Enter your Username, Password and Email Address. In many cases the username will just be your email but add it twice.
- Click Save Credentials.
- The lock icon for the line will change to a green closed lock and a notification in the top right.
Access your Service Credentials
- Go to your credentials page under the Tools menu on the Navigation bar.
- Find the service in the list where are are accessing credentials.
- Click on the service name to show your credentials.
Note: your credentials are also available from the myPresences Agent when you are on the site in your browser. When on the login page the agent will attempt to auto login using these credentials.
Removing your Service Credentials
- Go to your credentials page under the Tools menu on the Navigation bar.
- Find the service in the list where are want to clear credentials.
- Click on the service name to show your credentials.
- Clear each field so that Username, Password and Email are blank.
- Click Save Credentials.
- Note: the lock icon will change to red after you refresh the page.
