myPresences comes with default email templates that you can use when emailing customers asking for feedback and reviews.
While you can use these default templates we recommend that you customise the templates to better suit your business.
Email templates are configured in the Email Template Setup Page and you can create as many variations as you require.
Types of email templates
When creating email templates you can create 2 types of templates:
- Standard. Text based templates for sending simple emails.
- Advanced. HTML based templates that allow for complex formatting and images.
The default is to create standard templates, you can choose the template type when you create a new email template.
Create a new email template
To create a new email template:
- Go to the Email Template Setup page in the Setup menu -> Emails.
- Click the New button to create a new template.
- Give the new template a name.
- If you want to create the new template based on an existing template choose it from the template dropdown.
- If not based on an existing template choose the editor type. The default is Standard.
- Click the Save button to save the new template.
Email Merge Tags
Email merge tags allow you to insert content related to the current user or business. Merge tags will be set by the system when the email is sent.
Email merge tags can be used:
- In the subject
- The content of standard templates
- The content of advanced templates
The following merge tags are available:
- Business Name. {{business_name}}. The name of the current business.
- First Name. {{first_name}}. The first name of the recipient if available.
- Last Name. {{last_name}}. The last name of the recipient if available.
- Review Link. {{review_link}}. A link to your review landing page.
- External Review Link. {{external_reviews_link}}. A link to your review landing page with external review services.
- Thumbs Rating Widget. {{thumbs}}. Include the thumbs rating widget in the email.
- Faces Rating Widget. {{faces}}. Include the faces rating widget in the email.
- Stars Rating Widget. {{stars}}. Include the stars rating widget in the email.
- NPS Rating Widget. {{nps}}. Include the NPS rating widget in the email.
You can either type an email merge tag or select it from a dropdown.
To type an email merge tag enter it as displayed above between double braces. Eg. {{first_name}}.
Edit a standard template
When a standard template is selected you can edit the Subject and content of the email using the standard text editor.
You can enter email merge tags into the subject field or the email body.
The standard editor only supports text. If you add HTML it will not be displayed correctly.
Edit an advanced template
Editing an advanced template involves adding report sections from the content blocks on the right.
You have full control over the HTML or can insert:
- Columns
- Buttons
- Images
- Headings
Email merge tags can be inserted from the menu when editing text from the Merge Tags dropdown.
Test an email template
You can test email templates while you are working on them.
This will send the current email template to your Email address using the merge tags for you and the current business.
To send a test email:
- Click the Test button.
- Confirm that email address and template that will be sent.
- An email will be sent to your email address so you can test how your email template displays.
Delete an email template
To delete an email template:
- Go to the Email Template Setup page in the Setup menu -> Emails.
- Select the email template you want to delete from the top dropdown menu.
- Click the Delete button to create a new template.
- Confirm you want to delete the template.
Change the name of an email template
You can change the name of an email template after it has been created.
- Go to the Email Template Setup page in the Setup menu -> Emails.
- Select the email template for which you want to change the name.
- The template name will be at the bottom of the page.
- Change the name of the template.
- Click the Save button.
